2. Site Visit & Project Review

 

We’ll arrange a site visit to walk through the property in person, assess site conditions, and discuss the project in more detail.

​

This is where we identify:

  • Access challenges

  • Drainage considerations

  • Existing structures or levels

  • Material possibilities

  • Construction requirements

  • Opportunities to improve the design outcome

 

We’ll also provide practical recommendations from a construction perspective to help the project run smoothly later.

3. Design & Approvals

 

Once the landscape design is finalised, the project moves into approvals and documentation where required.

Depending on the scope of works, this may include:

  • DA approvals

  • Engineering

  • Structural details

  • Material selections

  • Planting plans

 

This process is generally managed by the landscape designer or consultant team, while we remain involved from the construction side to assist with planning, pricing, and buildability advice.

4. Estimating & Quoting

 

We take pricing seriously. Detailed estimates generally take 2 to 3 weeks to prepare properly depending on the complexity of the project. During this time we may:

  • Liaise with specialist trades

  • Arrange subcontractor site visits

  • Confirm material selections

  • Review engineering requirements

  • Refine construction details

 

Our goal is to provide realistic pricing that reflects the level of workmanship required, not rushed estimates designed to win work cheaply.

5. Contract & Project Preparation

 

Once the estimate is approved, we prepare:

  • Construction contracts

  • Project scheduling

  • Insurance documentation

  • Deposit invoicing

 

A 10% deposit secures the project into our construction schedule and allows materials, planning, and logistics to begin.

6. Construction Phase

 

Construction is where the project starts coming to life.

Clients are welcome to visit site throughout the build and remain involved during the process. As spaces evolve, there are often opportunities to refine details, adjust materials, or make planting decisions that improve the overall outcome.

We believe good projects benefit from collaboration and thoughtful decision-making during construction, not rigid box-ticking.

Throughout the project we maintain:

  • Clean and respectful sites

  • Regular communication

  • Weekly invoicing for project costs to date

  • Ongoing coordination with trades and suppliers

  • Consistent quality control across all stages

 

Communication is primarily handled through email for clarity and record keeping, with phone calls and site meetings arranged whenever needed.

Internally, our team uses job tracking systems daily to keep projects organised and everyone aligned.

7. Completion & Handover

 

Before project completion, we walk through the finished space carefully to ensure everything meets the standard we expect from Heartland Landscapes.
